Description

The Department of Public Works and Infrastructure is recruiting an Administration Officer: Investment Analysis at its Head Office in Pretoria.

The position provides office, project, financial and administrative support within the unit.

Responsibilities

• Perform office administrative activities.
• Administer office correspondence, documents and reports.
• Liaise with stakeholders relevant to the office.
• Prepare meeting documentation, agendas, minutes, presentations and reports.
• Procure office logistical requirements.
• Manage petty cash claims when necessary.
• Administer leave arrangements.
• Manage the flow of information and documents in the office.
• Record incoming and outgoing mail.
• Distribute documents to relevant managers and assist with tracking documentation.
• Manage communication to and from the office.
• Process forms and documents related to claims, payments and invoices.
• Assist members of the unit with travel arrangements.
• Manage travel approval and claim processes.
• Maintain the Commitment Register.
• Prepare the annual procurement plan.
• Monitor and reconcile expenditure.
• Compile and submit budget reports.
• Indicate required budget adjustments and manage the adjustment process.
• Maintain the project list and record the status of projects.
• Prepare quarterly and annual project reports.
• Provide budget information to the manager and colleagues.
• Handle queries from PPM, KAM, Regional Offices, Project Managers and other User Departments.
• Receive projects and arrange for project files to be opened at Registry.
• Copy, allocate, bind and trace project documentation.
• Monitor project reporting requirements and deadlines.
• Support project managers in collecting data.
• Scan and file completed reports.

Requirements

• A minimum three-year tertiary qualification at NQF Level 6.
• A National Diploma in Public Administration, Property Management or a related field.
• A valid driver’s licence.
• Knowledge of office administration.
• Knowledge of project administration and management.
• Computer literacy.
• Ability to operate the Microsoft Office Suite.
• Financial management and reconciliation knowledge.

Knowledge of LOGIS, BAS and Clickit will be an added advantage.

Salary: R338 106 per annum
