Dis-Chem Pharmacies Limited has an opportunity for a Clinic Receptionist at its Die Boord store in Stellenbosch.

The position is responsible for assisting patients by telephone and in person, coordinating appointments and documentation, and supporting the smooth running of the clinic and delivery of quality patient care.

Responsibilities

• Register patients according to established standards.
• Assist patients with completing medical forms, including medical insurance documentation.
• Monitor and maintain the clinic equipment, stationery and medication required.
• Inform patients about clinic procedures.
• Manage patient records.
• Open new patient files according to standard procedures.
• Ensure patient information is correct.
• Process medical aid payments.
• Move patients through scheduled appointments.
• Obtain medical reports where required.
• Keep the reception area clean and maintained.
• Protect patient privacy and confidentiality.
• Answer incoming calls within a reasonable time according to Dis-Chem standards.
• Use proper telephone etiquette when speaking with patients.
• Give callers relevant and accurate information regarding their requests, questions or concerns.
• Record caller details when calls come through to the switchboard for the third time.
• Email the caller’s details to the relevant staff member.
• Take accurate messages and repeat them to callers for confirmation.
• Confirm caller contact details.
• Ask callers adequate questions to ensure the correct message is transferred.
• Transfer messages and calls to the correct person.
• Assist walk-in guests in reaching staff regarding meetings or deliveries.
• Provide customers with area codes, work telephone numbers and other relevant information when requested.
• Ensure customers, guests and callers receive timely feedback regarding their queries.
• Assist patients in distress by responding to emergencies.
• Advise and assist patients with medical aid authorisation procedures.
• Follow up with patients regarding requested feedback.

Requirements

• Grade 12 or Matric.
• South African citizenship.
• A driver’s licence and/or reliable personal transport.
• Clear criminal and credit records.
• Ability to work at a dedicated workstation and remain seated at a desk for most of the day.
