Description

The Department of Agriculture, Rural Development and Environmental Affairs is recruiting a Secretary within Veterinary Services in Bloemfontein.

The position provides secretarial, receptionist, clerical and administrative support services to the manager and staff within the unit.

Responsibilities

• Receive telephone calls and refer them to the correct role players when they are not intended for the manager.
• Record appointments and events in the manager’s diary.
• Type documents for the manager and other staff within the unit using a word processor.
• Operate office equipment, including fax machines and photocopiers.
• Provide clerical support services to the manager.
• Liaise with travel agencies to arrange travel.
• Check travel arrangements when the relevant documents are received.
• Arrange meetings and events for the manager and staff within the unit.
• Identify venues for meetings and events.
• Invite relevant role players.
• Organise refreshments.
• Prepare schedules for meetings and events.
• Process travel and subsistence claims for the unit.
• Process invoices arising from the manager’s work activities.
• Record basic minutes of the manager’s meetings where required.
• Draft routine correspondence and reports.
• File documents for the manager and the unit where required.
• Administer leave registers.
• Administer attendance registers.
• Administer telephone accounts.
• Receive, record and distribute incoming and outgoing documents.
• Handle the procurement of standard items, including stationery and refreshments.
• Collect relevant documents to enable the manager to prepare for meetings.
• Remain informed about the prescripts, policies and procedures applicable to the work environment.
• Study relevant Public Service and departmental prescripts, policies and other documents.
• Remain informed about the procedures and processes applicable to the manager’s office.

Requirements

• Grade 12 with typing as a subject; or
• Another training course or qualification that enables the applicant to perform the work satisfactorily.
• Computer literacy.
• No mandatory experience is stated.
