Job Description
The Department of Agriculture is inviting applications for a Secretary position within the Directorate: Plant Health in Pretoria, Gauteng.
The successful candidate will provide secretarial, receptionist, clerical, and administrative support to the Director. The role includes handling telephone calls, managing appointments, typing documents, arranging meetings and travel, processing claims and invoices, filing documents, and supporting the smooth running of the Director’s office.
This opportunity is suitable for candidates with a Grade 12 Certificate / NQF Level 4 who are organised, reliable, computer literate, professional, and able to communicate well with people at different levels.

Responsibilities
- Provide secretarial and receptionist support to the Director.
- Receive telephone calls and refer them to the correct role players where required.
- Record appointments and events in the diary.
- Type documents for the Director and other staff within the unit.
- Operate office equipment such as fax machines and photocopiers.
- Provide clerical support services to the Director.
- Liaise with travel agencies to make travel arrangements.
- Check travel arrangements when relevant documents are received.
- Arrange meetings and events for the Director and employees in the unit.
- Identify venues, invite role players, organise refreshments, and set up schedules for meetings and events.
- Process travel and subsistence claims for the unit.
- Process invoices related to the work of the Director.
- Record basic minutes of meetings where required.
- Draft routine correspondence and reports.
- File documents for the Director and the unit where necessary.
- Administer leave registers and telephone accounts.
- Receive, record, and distribute incoming and outgoing documents.
- Handle procurement of standard items such as stationery and refreshments.
- Collect relevant documents to help the Director prepare for meetings.
- Stay updated on policies, prescripts, and procedures applicable to the work environment.
- Study relevant Public Service and departmental policies to understand their correct application.
- Remain informed about office procedures and processes.
Requirements
- Grade 12 Certificate / NQF Level 4.
- No experience required.
- Knowledge of relevant legislation, policies, prescripts, and procedures.
- Telephone etiquette.
- Basic knowledge of financial administration.
- Computer literacy in Microsoft Office.
- Ability to work long extended hours.
- Ability to act with tact and discretion.
- Good grooming and presentation.
