The successful candidate will support HR administrative processes and tasks, including employee record-keeping and talent acquisition administration.
The role involves handling sensitive employee and company information while maintaining professionalism, confidentiality and accuracy.

Job Purpose
The purpose of this role is to implement or perform a variety of HR administrative processes and tasks.
The role includes employee record-keeping, talent acquisition administration, data processing, HR query handling and administrative support across the employee life cycle.
The successful candidate will also handle telephonic and email HR-related queries and advise or escalate matters to the relevant person for resolution.
Responsibilities
The successful candidate will be responsible for:
- Assisting in setting up administration processes.
- Maintaining administration processes.
- Managing channel complaints processes.
- Processing invoices.
- Processing weekly broker commissions.
- Collating information for management reporting.
- Analysing information for management reporting.
- Collating information for financial reporting.
- Developing process and technical skills through training and coaching.
- Participating in assessment and development planning activities.
- Building working knowledge of organisational policies and procedures.
- Building working knowledge of regulatory codes.
- Building working knowledge of codes of conduct relevant to the role.
- Adhering to mandatory procedures and required standards.
- Vetting new broker applications according to contractual regulations.
- Vetting new broker applications according to compliance regulations.
- Building relationships with internal stakeholders.
- Building relationships with external stakeholders and partners.
- Ensuring effective service delivery within specified SLAs.
- Supporting retention of policies.
- Working with the Retentions Team.
- Providing ad hoc project support within the channel.
- Supporting marketing and events projects where required.
- Helping manage clients by carrying out standard activities.

- Organising own work schedule.
- Supervising junior administrators where necessary.
- Assigning short-term tasks to others where necessary.
- Populating standard contracts.
- Preparing letters and communication to external partners and clients.
- Maintaining a centralised archive of distribution-related data.
- Storing applications, communication, decisions and documentation.
- Managing new applications.
- Managing marketing material.
- Recording printing ratios.
- Populating the weekly dashboard for the channel.
- Scanning broker contracts.
- Filing broker contracts.
- Assisting with compiling presentations.
- Vetting new private facilities.
- Facilitating processes relating to private facilities.
- Managing new business processes.
- Ensuring business risks are eliminated.
- Working with binder holders.
- Working with the Verification Team.
- Calling clients regarding distressed policies.
- Building a risk management process for new and existing brokers.
- Maintaining a risk monitoring process for new and existing brokers.
- Assisting in broker debt management.
Education Requirements
Applicants must have:
- School Grade 12.
- SAQA-accredited equivalent qualification.
- Undergraduate Degree.
Advantageous Qualifications
The following will be advantageous:
- 3-year business-related degree.
- Honours degree.
Experience Requirements
Applicants must have:
- 2 or more years’ experience in an administrative role dealing with company secretarial duties.
- 2 or more years’ experience in recruitment.
- Exposure to the full recruitment cycle.
- General administration services experience.
