Job Description
The Office of the Chief Justice is inviting applications for an Administration Clerk: Asset position at the Gauteng Division of the High Court, Johannesburg.
This opportunity is suitable for candidates with a Grade 12 certificate.
No experience is required.
The successful candidate will support asset management administration by helping maintain asset records, coordinating asset verification, managing asset documentation, supporting asset disposal processes, and providing general administrative support services.

Requirements
Applicants must meet the following requirements:
- Grade 12 certificate.
- No experience required.
- Must undertake a pre-entry practical exercise as part of the assessment method.
- Must undergo a pre-entry practical exercise to determine suitability based on the post’s technical and generic requirements.

Duties
The successful candidate will be responsible for:
- Providing support with the coordination of compliance with Asset Management.
- Ensuring accurate specifications and quantities.
- Ensuring Annexure B3 is completed and filed.
- Ensuring new assets are tagged.
- Ensuring new assets are registered on the Asset Register.
- Recording assets on the Asset Register.
- Recording assets on the signed Inventory List behind the relevant room or location door.
- Preparing and processing payments on the JYP system.
- Ensuring Asset Movement Forms are completed when assets are moved.
- Ensuring Asset Movement Forms are completed when assets are taken for repairs.
- Ensuring quality assurance of physical assets against the inventory list.
- Ensuring JYP Asset Register quality assurance.
- Conducting physical asset verification.
- Processing the existence and completeness of the lease register.
- Ensuring assets are barcoded.
- Ensuring assets are marked with permanent markers.
- Ensuring leased assets are up to date on the Leased Assets Register.
- Requesting the uploading of assets on the register.
- Supporting the relevant payments batches.
- Correcting documentation to ensure correct valuation of assets.
- Ensuring unverified assets are investigated.
- Ensuring assets were not disposed of or transferred incorrectly.
- Ensuring deadlines for submitting reports are met.
- Ensuring the Provincial Service Centre is informed of relevant asset matters.
- Facilitating disposal of unserviceable, redundant, obsolete and lost assets.
- Facilitating disposal through the relevant disposal committees.
- Identifying and reporting surplus, redundant, obsolete, unserviceable or under-performing assets to the national office.
- Ensuring disposed assets on the JYP system match assets physically disposed.
- Ensuring a list of assets disposed on the JYP system is forwarded to the Provincial Service Centre for confirmation against approved disposal memorandum.
- Maintaining a file for approved disposal certificates.
- Providing administrative support services.
- Providing logistical arrangements for meetings.
- Providing secretariat support services during meetings.
- Compiling minutes and memos.
- Handling incoming and outgoing office correspondence.
